Large boardrooms need special AV office equipment for daily functions such as conferences, seminar, and presentations. The sound system should be adequate for the needs of the occupants. It should allow people to be heard while providing the host with the ability to control the flow of the discussions. The AV office equipment should provide enough volume for everyone to hear whatever is being said or played back. Look into the different systems available and find one that can actually meet the needs of your boardroom. Pay attention to the following features:
Microphone
If the room is massive, then a person’s natural speaking voice may not be enough to be heard by everyone. People will need to shout across the room which will not be healthy for the discussions. Those in attendance should have a microphone which could either be wired for specific seats or wireless for the presenter’s freedom of movement. Every mic on the table can have a gooseneck that is flexible enough to face the user and adjust to the desired height. There should be an indicator light to know if the mic is active or not. The person could mute this at will.
Priority Switching
Although everyone should be able to contribute to the discussion, they cannot all talk at the same time. One person should have the controls for volume, mute, and other functions of the entire system. This chairman should also have the priority when many are trying to speak their mind. This helps maintain order particularly when the discussions get heated. Every button should be labeled clearly and the system should be easy to use as a whole.
Amplifier and Speakers
The sound system will not be complete without amplifiers and speakers. The wired speaker system should be located at strategic areas for the best acoustic possible. They should be small and distributed around the room so that volume is even wherever you are seated. Bass response is not that important. The speakers should have a good mid-frequency clarity since it will mostly carry voice. For smaller boardrooms, it may suffice to use wireless speakers for ease of setup. Others will want powerful speaker systems that are located externally to double as a PA system with the boardroom being the center of the broadcast. This will allow the chairman to address employees about results of meetings directly.
All of these require special cabinetry to hold everything and keep the wires organized for easy troubleshooting should there be a need in the future.
